Listing Enquiry Form. When you submit a property listing enquiry, we may collect:
- Contact details: your name, phone number, and email address (if provided)
- Property details: category (residential or commercial), sale or rent intent, property type, address, city or area, optional headline, asking price, currency, bedrooms, bathrooms, building size, land size, and description
- Photographs: up to six images of the property you upload
- Submission records: date and time of submission, confirmation that you accepted our user agreement, and technical identifiers associated with your upload session
Website and communications. We may also collect information you provide when contacting us, requesting a viewing, or using other forms on our site, as well as basic technical data such as browser type, device information, and pages visited where our systems record that information.
Account information. If you register for an account, we may collect login credentials and profile information you choose to provide, such as saved favourites.
4. How we use your information
We use personal information for purposes including:
- Reviewing and responding to property listing enquiries
- Contacting you about your property and our brokerage services
- Preparing listing proposals and, if agreed, marketing your property
- Operating, maintaining, and improving our website
- Complying with legal, regulatory, and professional obligations, including anti-money laundering requirements applicable to real estate transactions in Trinidad and Tobago
- Protecting our business, clients, and website from fraud or misuse
We do not sell your personal information to third parties for their marketing purposes.

- You have given consent — for example, when you tick the user agreement checkbox and authorise us to contact you about your listing enquiry

- We have a legal obligation — for example, record-keeping required under applicable laws and professional standards
6. Photographs and cloud storage
Property photographs submitted through our Listing Enquiry Form are uploaded to secure cloud storage (Firebase/Google Cloud) and linked to your enquiry record. These images are accessed only by authorised Veridian Realty personnel for the purposes described in this policy. If a formal listing agreement is not entered into, we may delete enquiry records and associated images after a reasonable retention period.
7. How we share information
We may share personal information with:
- Our agents and staff who need the information to respond to your enquiry or provide services
- Service providers who help us operate our website, store data, or communicate with you (such as hosting and cloud storage providers), subject to confidentiality obligations
- Professional advisers such as lawyers or accountants where reasonably necessary
- Regulators, courts, or law enforcement when required by law or to protect our legal rights
- Prospective buyers or tenants — only where appropriate and typically after a listing agreement is in place and with information relevant to marketing the property
If we publish a property listing on our website or third-party portals, property details and photographs may become publicly visible as part of normal marketing activity, but only in accordance with your instructions and listing agreement.
8. Data retention
We retain listing enquiry information for as long as needed to respond to your enquiry, evaluate a potential business relationship, and comply with legal and professional record-keeping requirements. Enquiries that do not proceed to a listing agreement may be archived or deleted after a reasonable period, typically within twenty-four (24) months unless a longer period is required by law or ongoing correspondence warrants retention.
Client files relating to completed or active brokerage matters may be retained for longer periods as required by applicable law and professional standards.
9. Security
We implement reasonable technical and organisational measures to protect personal information against unauthorised access, loss, or misuse. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
10. Your rights
Depending on applicable law, you may have the right to request access to, correction of, or deletion of your personal information, or to object to or restrict certain processing. You may withdraw consent for marketing contact at any time by contacting us, without affecting processing that occurred before withdrawal.
